Documents Required

General Documents

Travel Document

• A valid passport issued within the last 10 years with at least two blank pages.
• Must be valid for at least three months beyond the intended departure date from the Schengen area.
• Copies of previous passports containing valid or expired Schengen visas (if applicable).

Seaman’s Book

• A valid seaman’s book, along with copies of the personal information page.

Schengen Visa Application Form

• Completed and signed Schengen visa application form.
• Confirmation of online visa registration at the Icelandic visa portal.

Passport Photograph

• One recent passport-size photograph (max. 6 months old).
• White background, 3.5 x 4.5 cm in size.

UK Residency

• Provide a UK eVisa printout from UKVI with a valid share code.

Employment Verification

• Employment letter from the shipping company or maritime agency confirming:
  • Name and nationality of the seafarer.
  • Seafarer’s book number, passport number, date of issue, and validity.
  • Position on the vessel.
  • Name and flag of the vessel.
  • Date and port of boarding and disembarking.
  • Full itinerary of transit through the Schengen area.

Proof of Sponsorship and Accommodation

• Invitation letter from the Icelandic shipping company or maritime agency stating:
  • Name of the UK-based agency collaborating with the Icelandic entity.
  • A commitment to cover all expenses (including accommodation and repatriation).
  • Confirmation that the seafarer will board the vessel upon arrival.
  • If staying overnight, a hotel booking or proof of sponsorship from a host.

Proof of Travel Arrangements

• Confirmed flight reservation for arrival and departure.
• Internal Schengen travel bookings if transiting through multiple countries.
• Visa for final destination country (if applicable).

Travel Medical Insurance

• Valid for all Schengen countries.
• Minimum coverage of €30,000 for medical expenses, accidents, and repatriation.

Proof of Finance

• Last 3 months of UK bank statements, showing sufficient funds for the trip.
• If sponsored, a sponsorship letter and sponsor’s bank statement.

For Minors (Under 18 Years)

• Original birth certificate + photocopy.
• Parental consent form signed by both parents/guardians.
• Copies of parents’ passports.

Important Notes:

• Ensure all documents are complete and accurate to avoid processing delays.
• The Embassy may request additional documents or call for an interview.
• Processing delays are possible during peak seasons, so early application is recommended.

Photo Specifications

Applicants must submit one recent colour photograph (not older than 6 months) that meets the following requirements:

• Background: Taken against a plain, light-coloured background (white or off-white) to ensure facial features are clearly distinguishable and contrast against the background.
• Clarity & Focus: The photo must be of high quality, clear, and in sharp focus.
• Full Face Visible:
  • The applicant must have a neutral expression (non-smiling).
  • No sunglasses, hats, caps, or head coverings, unless worn for religious or cultural reasons.
• Printing Requirements:
  • Printed on standard photographic paper (camera print).
  • Must be glued to the visa application form (not stapled).
• Compliance Check:
  • If the submitted photograph does not meet the above requirements, the application will be considered incomplete.
  • The applicant may be required to take new photographs at a photo booth in the visa application centre.
